You’ve put in the time, made the decisions, and planned a celebration you can’t wait to experience—now it’s time to enjoy it. Two months before your event, our team will step in to learn everything you’ve planned, tie together the final details, and prepare to bring it all to life.

We’ll connect with your vendors, build your final timeline, and organize the final logistics in order to make sure everyone knows exactly where they need to be and when. When the big day arrives, you can officially hand things over to us. We’ll take care of what’s happening behind the scenes so you can be fully present for everything you worked so hard to create.

Our Day-of-Coordination package includes all of the below.

    • Coordination services begin two months before your event

    • Comprehensive handoff meeting to learn the details of everything you have planned

    • Review of your existing plans, vendors, and event logistics

    • Identification of outstanding event-day details that need to be finalized

    • Creation of a clear transition plan as So Lush Events takes over final coordination

    • Guidance on the remaining logistical steps needed before your event

    • A dedicated lead planner who will assist you

    • Two in-person meetings, which may include a venue walkthrough and final planning meeting

    • Ongoing communication during the two-month coordination period

    • Final review of your event plans and logistics

    • Communication regarding outstanding event-day details

    • Vendor recommendations for any remaining needs

    • Referrals to trusted vendors based on your event and preferences

    • Client remains responsible for vendor research, selection, booking, contracts, and payments

    • Review of venue policies, requirements, and final logistics in preparation of final coordination details

    • Final communication with the venue leading into your event

    • Confirmation of access, setup, breakdown, and event timing

    • Coordination of final floor plan and venue logistics

    • Venue walkthrough when applicable

    • Serving as the primary liaison with venue staff on event day

    • Collection of final contact information and service details for your booked vendors

    • Confirmation of final event-day logistics with vendors

    • Confirmation of vendor arrival, setup, and breakdown times

    • Incorporation of vendor schedules into the final event timeline

    • Event-day vendor communication and coordination

    • Serving as the primary vendor liaison on the day of your event

    • Distribute final payments on client behalf to vendors on event day

    • Client remains responsible for vendor booking, contract management, planning communication, and payments prior to the coordination period

    • Distribution of final event-day details to your vendor team

    • Collection and organization of personal décor items that So Lush Events will be responsible for placing (including, Welcome Sign, Guest Book, Cake Cutting Set, Table Numbers, Menu Cards, Thank You Cards, Place Cards, Seating Cards, Card Box, Favors, etc.)

    • Final review of the event flow from setup through completion

    • Full on-site coordination from vendor arrival through the completion of your event

    • Vendor arrival and setup coordination

    • Supervision of setup and breakdown

    • Management and execution of the event timeline

    • Coordination of entrances, speeches, dances, traditions, and other key moments

    • Communication with vendors, venue staff, and designated family members

    • Guest relations and logistical support

    • Placement of personal décor items (including, Welcome Sign, Guest Book, Cake Cutting Set, Table Numbers, Menu Cards, Thank You Cards, Place Cards, Seating Cards, Card Box, Favors, etc.)
